Project Award Notice (PAN)

A Project Award Notice (PAN) is prepared and distributed by DRDA to the Principal Investigator and serves to establish the project/grant number for the project.

Special terms and conditions of the award are identified, including cost-sharing commitments, and key personnel responsible for assisting in the administration of the project are listed on the PAN. Subsequent changes in terms and conditions, additional funding, time extensions, and other modifications will be identified by a Project Award Change (PAC) form, distributed by DRDA.

The Project Award Notice is sent to everyone who has signed the Project Approval Form (PAF). The more detailed award documentation materials are included only with the PAN that is sent to the Project Director/Principal Investigator. Copies of any award documentation materials may be requested by contacting the Project Representative listed on the PAN.

Electronic Distribution

In January 2009, DRDA began using the eResearch Proposal Management system to notify research teams about the PAN. An email message is generated from eRPM that has a link to the PAN.

Please be sure your department contact information is up-to-date in the DRDA database of unit administrators/contacts aka "Blue Pages."

This electronic notification is intended to provide information needed for timely project initiation and management. Project data are better obtained from the eRPM data set, which is updated the evening after the PAN/PAC is e-mailed.

Funds Distribution

The distribution of funds in support of the sponsored activities is detailed on a Project Budget Report, which is sent each month to the Project Director by Financial Operations. Should the Project Director want to modify the budget distribution, the proposed changes may be made on a Project Budget (7471) Form , which should then be routed through the normal approval process. No administrative action needs to be initiated by the Project Director, however, if further changes are not required.
