Changing the organization code for a project/grant and legacy account

Note: the nomenclature has changed: organization codes are now called department IDs; legacy accounts are now called short codes.

There are two common situations.

1. The administrative unit of the project changes, typically from one department to another. An example is the relocation of a PI within the University. To effect the official transfer for University records (DRDA and Financial Operations) we ask that the PI address a memorandum to the appropriate DRDA project representative. The memo should specify the project to be changed; both the original and proposed new units, including six digit org codes; the effective date of the transfer; and endorsing signatures on behalf of the Department, School/College, Center/Institute of both the relinquishing unit and the accepting unit. Upon receipt, DRDA will prepare a Project Award Change (PAC) to reflect the change.

2. A shift within a single department/center, typically from one division to another. To effect this change, we ask only that a note be sent from the departmental administrator to the appropriate DRDA project representative requesting the change. DRDA will prepare a PAC to reflect the change in administrative home. This same process should be followed to revise an incorrect org code on a DRDA PAN (the transition from four to six-digit org codes has caused some translation errors).

If the change relates to a subproject/grant, please process and route a revised Project Budget Form 7471 to Financial Operations, with the requisite signatures. Upon receipt, they will change their records.
